How we estimate

What goes into a retreat budget

The calculator uses the same categories as a Wilder proposal, with averages from retreats we plan every year.

Lodging

Usually the largest line. Venue level, season and destination set the nightly rate, and shared rooms lower the cost per person.

Meals

Breakfast, lunch and dinner each day, plus a welcome reception and drinks. Private dinners and chef experiences are often the highlight.

Team experiences

Guided adventures, workshops and activities that bring a team together. A balanced agenda leaves room for both work and play.

Meeting space and A/V

Plenary and breakout rooms, screens, sound and coffee breaks. Sales kickoffs and executive offsites usually need more.

Ground transportation

Airport transfers and transport to every experience, so no one is renting cars or waiting on rideshares.

How much does a corporate retreat cost per person?

Most Wilder retreats run $750 to $1,500 per person per day, depending on the destination, venue, season, group size and experiences. Flights are extra.

How accurate is this estimate?

It’s a realistic starting point based on averages from the retreats we plan. Exact costs depend on your dates and venue, and your proposal spells out every line.

How can we lower the cost?

Travel in shoulder season, choose a destination within driving distance, share rooms or shorten the trip by a night. We’ll show you the trade-offs in your proposal.

Do group size and nights change the cost per person?

Yes. Fixed costs like meeting space, A/V and facilitation are spread across more people in larger groups, so the cost per person usually drops as the group grows.

Are flights included?

Only if you turn them on. Many companies have attendees book their own flights, and we coordinate arrivals and transfers either way.
