We collect only the data necessary to provide a seamless, high-fidelity retreat experience. This includes:

  • Client Information: Contact details, billing information, and retreat objectives.

  • Attendee Information: Through our private registration microsites, we collect names, contact info, flight details, dietary requirements, and accessibility needs.

  • Technical Data: Standard website analytics (cookies and IP addresses) to improve our site performance and user experience.

2. How We Use Your Data

We use your information strictly for logistical execution and safety, specifically to:

  • Coordinate airport transfers and lodging blocks.

  • Customize menus and “Adventure Architect” itineraries.

  • Provide real-time updates regarding retreat schedules or emergencies.

  • Ensure international staff have the necessary documentation for pre- and post-retreat stays.

3. Data Sharing & Disclosure

Wilder Retreats is not a data broker. We do not sell your information. We share data only with trusted partners essential to your retreat (e.g., The Limelight Hotel, transport providers, or specific event vendors). These partners are contractually obligated to use your data only for the service they are providing and must adhere to our security standards.

4. International Data Transfers & Compliance

Because Wilder Retreats often coordinates logistics for a global workforce, we adhere to the following standards for international data handling:

  • GDPR (EU/UK): For employees based in the European Union or United Kingdom, we process data under the legal basis of Contractual Necessity. We ensure that any data transferred to the U.S. is protected by standard contractual clauses or equivalent safeguards.

  • CCPA (California): We provide California residents the right to know what personal information is collected, the right to delete that information, and the right to opt-out of any potential “sale” of data.

  • Data Minimization: We only collect the specific data points required for the retreat. We do not store redundant copies of sensitive documents once their logistical utility has been exhausted.

5. Security Standards

We treat your team’s data as “The Source of Truth.” Our registration microsites are built on secure infrastructure with encryption at rest and in transit. Access is strictly restricted to the specific Wilder team members managing your event.

6. Your Rights & Data Retention

You and your employees have the right to review, update, or request the deletion of personal information at any time. Once a retreat is concluded and final billing is settled, we purge sensitive attendee data (like medical needs or passport copies) from our active systems unless otherwise requested by the client for future planning.
